The Association for Psychological Science (APS), a DC-based scientific organization with a collegial, collaborative culture, seeks a highly-organized and detail-oriented administrative professional for the position of Board and Committee Administrator. This is a full-time opportunity for an energetic individual with excellent communication skills and demonstrated experience prioritizing tasks and supporting diverse teams.  

 About APS

APS is dedicated to the advancement and representation of scientific psychology across the full range of research areas in this diverse field. APS members around the world include leading scientists, scholars, educators, and students. APS publishes six highly respected journals, hosts an annual US-based conference and a biannual international conference, publishes a member magazine and related digital content, and has a broad public outreach and policy advocacy program that raises the visibility of APS members, their research, and the psychological science field.

 About the Position

Reporting to the Director of Membership, the Administrator provides day-to-day support for the management of APS committees and the Board of Directors. This includes but is not limited to scheduling and supporting meetings; compiling and distributing notifications, agendas, and material; ensuring that related webpages, the association management system (AMS), and publications reflect accurate and timely information; and working collaboratively across departments to ensure an excellent experience for APS’s volunteers, award winners, and members.

Responsibilities include, but are not limited to

·       Coordinating the logistics of Board and committee activities, including managing schedules, arranging meetings and calls, and maintaining calendars of activities.

·       Working with the CEO, COO/Deputy Director, Director of Membership, and others to coordinate/prepare agendas, presentations, and other related documents.

·       Maintaining Board and committee rosters, tracking terms and rotations, and ensuring vacancies are filled in a timely manner.

·       Ensuring efficient use of tools within the association management system (AMS) and Microsoft Suite to maintain, organize, and share documents and files.

·       Preparing and/or proofreading/editing material from the committees to share with the Board.

·       Setting up nomination and submission processes in the award/grant submission system and supporting committee members during the review process.

·       Setting up Board elections in the election system.

·       Monitoring Board and committee mailboxes.

·       Tracking and compiling award nominations and grant submissions and collaborating with others to prepare material for committees.

·       Monitoring budgets for Board and committee activities and preparing related reimbursement and other payment requests.

·       Maintaining APS webpages related to Board, committees, awards, and their related activities.

·       Supporting APS leadership in a variety of governance projects.

·       Other duties as assigned.

Requirements

·       Bachelor’s degree or an equivalent combination of experience and training.

·       2 to 4 years working as an executive assistant or in association governance or corporate/board affairs.

·       Exceptional organization, time management, attention to detail, and written and oral communication skills.

·       Proficiency with Microsoft Office 365 (Teams, Sharepoint, Word, Excel, PowerPoint) and comfort learning new technology.

·       Ability to execute independently and to collaborate across departments.

·       Ability to meet deadlines while maintaining high quality and accuracy.

·       A commitment to excellence and a desire to exceed expectations.

 Additional desired skills

·       Scientific society/association experience.

·       AMS experience, specifically Impexium.

·       Familiarity with OpenWater or other award management software.

·       Experience with HTML, WordPress.
